A

Availability Tracking
The process of monitoring which rental items are available on specific dates. Rental software automates this by checking bookings against total inventory, preventing double-bookings and ensuring accurate quotes.

B

Banquet Table
A long, rectangular table commonly used at events. Standard sizes include 6-foot (seats 6–8) and 8-foot (seats 8–10). Also called a "trestle table" or "folding table" in some markets.
Booking
A confirmed reservation for rental items over a specific date range. A booking typically includes the customer, event date, item list, delivery details, and payment status.
Bounce House
An inflatable structure rented for children's parties and events. Also called a bouncy castle, moon bounce, or inflatable. Requires tracking of setup/teardown time, delivery logistics, and safety compliance.
Break-Even Point
The number of times a rental item must be rented before its purchase cost is fully recovered. For example, a chair that costs $30 and rents for $5 has a break-even point of 6 rentals.
Bundle
A group of rental items offered as a single package at a set price. For example, a "Wedding Package" might include 100 chairs, 10 tables, and 10 linens. Bundles simplify quoting and increase average order value.

Calendar View
A visual overview of all bookings organized by date. Helps rental operators see at a glance what's booked, what's available, and when deliveries and pickups are scheduled.
Canopy
A portable, lightweight structure used for outdoor shade. Smaller than a tent, typically 10x10 or 10x20 feet. Popular for backyard parties and small outdoor events.
Candy Cart
A decorative cart stocked with sweets, rented for events like weddings, baby showers, and birthday parties. A popular add-on item in the party rental industry.
Chiavari Chair
An elegant, lightweight stacking chair used at weddings and formal events. Typically rents for $4–$12 per chair. Also known as a Tiffany chair in some markets.
Custom Domain
Using your own web address (e.g., rentals.yourbusiness.com) for your online storefront instead of a generic platform URL. Builds brand credibility with customers.

D

Damage Deposit
A refundable charge collected before an event to cover potential damage to rental items. Typically 10–25% of the order total, returned after items are inspected post-event.
Damage Waiver
A non-refundable fee (typically 8–15% of the order) that covers minor damage to rental items. An alternative to damage deposits that simplifies post-event processing.
Delivery Fee
A charge for transporting rental items to and from the event venue. Can be a flat fee, distance-based, or tiered. A significant revenue stream for many rental businesses.
Double Booking
When the same rental item is accidentally reserved for two overlapping events. Rental management software prevents this through real-time availability tracking.

Event Rental

Folding Chair
A lightweight, collapsible chair that's a staple of the rental industry. Easy to transport and store. Typically rents for $1.50–$4 per chair depending on material and market.

I

Inflatable
Any air-filled rental structure, including bounce houses, water slides, obstacle courses, and interactive games. Requires a blower to stay inflated during use.
Inventory
The total collection of items a rental business owns and rents out. Inventory management involves tracking quantities, condition, location, and availability of each item.
Inventory Turnover
How frequently rental items are booked relative to their availability. High turnover means items are frequently rented — a sign of strong demand and good pricing.
Invoice
A formal document sent to a customer requesting payment for rental items and services. Includes itemized charges, taxes, delivery fees, and payment terms.

Lead Time
The time between when a booking is placed and when the event occurs. Longer lead times are common for weddings (6–12 months) and shorter for party rentals (1–4 weeks).
Linen
Fabric items rented for events, including tablecloths, napkins, chair covers, and sashes. Requires separate tracking for cleaning and inventory management.

Marquee
A large tent structure used for outdoor events. Common in the UK, Australia, and parts of Canada. Can be frame-style or pole-style, ranging from 20x20 to 60x120 feet or larger.

Online Storefront
A web-based catalog where customers can browse rental items, check availability, and place orders. Reduces phone calls and manual quote requests. Some rental software includes a free storefront.
Order Value
The total revenue from a single booking. Average order value (AOV) is a key metric for rental businesses — tracking it helps with pricing decisions and growth planning.

P

Peak Season
The busiest period for a rental business, typically May through October in North America. Wedding season, graduation parties, and summer events drive the highest demand.
Photo Booth
A portable photo station rented for events, including a camera, backdrop, props, and often a printer. A high-margin rental category with growing demand.
Pull Sheet
A list of all items that need to be pulled from the warehouse for a specific booking. Used by crew during loading to ensure nothing is missed. Also called a pick list.

Q

Quote
A formal estimate sent to a potential customer outlining rental items, quantities, pricing, and terms. Quotes can be accepted, revised, or declined before becoming a confirmed booking.

R

Rental Period
The duration for which items are rented. In event rentals, this is typically 1–3 days (delivery day, event day, pickup day). Longer rental periods may incur additional fees.
Revenue Recovery
The process of tracking how much revenue rental items have generated relative to their purchase cost. Helps businesses understand which items are profitable and which are underperforming.
ROI (Return on Investment)
A measure of profitability for rental items. Calculated as (total rental revenue − purchase cost) ÷ purchase cost × 100. A chair that cost $30 and has earned $90 in rentals has an ROI of 200%.
Round Table
A circular table used at events, typically 48-inch (seats 6), 60-inch (seats 8–10), or 72-inch (seats 10–12) diameter. The 60-inch round is the most commonly rented size.

S

Setup/Teardown
The time required to deliver, assemble, and later disassemble and collect rental items at a venue. Must be factored into scheduling to avoid availability conflicts.
Storefront
See Online Storefront. In rental software, this refers to the customer-facing booking page where items can be browsed and orders placed.
Sub-Rental
Renting items from another rental company to fulfill a booking when your own inventory is insufficient. Common during peak season or for specialty items.

T

Tent
A temporary structure used for outdoor events. Types include pole tents (supported by center poles and stakes), frame tents (free-standing metal frame), and clear-span tents (large, engineered structures).
Turnaround Time
The time needed to clean, inspect, and prepare rental items between bookings. Important for back-to-back events — items rented Saturday may need to be ready again by Wednesday.

U

Utilization Rate
The percentage of time a rental item is booked versus available. A tent rented 20 out of 30 available weekends has a 67% utilization rate. Higher utilization means more revenue per item.
